How to Print on an Envelope in Microsoft Word

If you want to send professional-looking correspondence, don’t let the first thing the recipient sees is a messy handwritten envelope. Take an envelope, put it in your printer and write the name and address using Microsoft Word.

Here, we’ll show you how to print on an envelope in Word using a template, as well as from scratch, on both Windows and Mac.

NoteNote: As of this writing, you cannot print an envelope from the Microsoft Word mobile app.

Print on an envelope in Word on Windows

Before you begin, you may want to get the envelope size you’ll be using because you’ll need it for the settings you’ll be adjusting. You can also put your envelope in the printer so it’s ready when you are.

Use an envelope template

If you want to add a little sparkle to your envelope, you can use one of Word’s templates.

  1. Open Word and make sure you’re in the Home section.
  2. Select more templates on the right.
  1. Type “Envelopes” in the search box and press Get into.
  2. Then you’ll see a handful of envelope templates that you can use. If you see one you like, select it and use To create to open and edit it.

Depending on the template you choose, you may have options to add a logo or image. For recipient and return names and addresses, simply type the text in the placeholders.

Create an envelope from scratch

If you don’t see a template you like, creating an envelope from scratch is just as easy.

  1. With a blank document open in Word, select the Post table and choose Envelopes on the left.
  2. In the window that appears, enter the details of the delivery address at the top and the return address below.
  3. Select Options to choose the envelope size and print options.
  1. In that window, use the envelope options tab to choose the size of your envelope. If you don’t see the size you need, scroll to the bottom of that list, choose custom sizeand enter the width and height of the envelope.
  2. You can then adjust where the delivery and return addresses are displayed on the envelope. Use the from the left Y From above boxes for each direction by entering the size or using the arrows to move up or down. As you do, you’ll see the changes in the Advance in the background.
  3. Also, you can use the Font button to pick a specific font style or size for each direction.
  1. Then select the print options tab to choose the method of feeding and lining your envelope. You can also choose the feed tray using the drop down menu. You may need to verify the correct location with your printer’s instructions.
  2. When finished, select okay.
  1. You will return to the Envelopes and Labels window where you started. To print the envelope immediately, select Impression. Otherwise, choose Add to document to create the envelope and follow the steps below to print.
  1. If prompted to save the sender’s address, select Yes either Nope for your preference.

Print the envelope in Windows

When it’s time to print your custom envelope or edited template, load your envelope(s) into your printer according to the manufacturer’s instructions and the settings you adjusted in the print options top tab.

  1. Select the Proceedings tabulate and select Impression.
  2. You can then select the printer at the top and make any other adjustments as needed in the print settings. You will see a preview of your envelope(s) on the right.
  3. To choose Impression.

Print on an envelope in Word on Mac

Printing on an envelope in Word on Mac is similar to Windows, but there are a few minor differences. So follow below if you’re working in Word on macOS.

Use an envelope template

You can find the same templates in Word on Mac as you do in Windows to get started with your envelope.

  1. Open Word and select Proceedings > New from template in the menu bar.
  2. Type “About” in the search box. You will see a few different envelope styles.
  3. If you find one you’d like to use, select it and use To create To open it.

You can then replace the sample names and addresses for your recipient and return in each text box.

Create an envelope from scratch

If you can’t find a template you want to use, you can easily create an envelope from scratch.

  1. With a blank document open in Word, select the Post tabulate and select Envelopes on the left.
  2. In the window that appears, enter the details of the delivery address at the top and the return address below.
  1. Use the Font button to select a specific font style or size for each address if desired.
  2. Select the Position button to adjust the location of the delivery and return addresses. Use the from the left Y From above boxes for each direction by entering the size or using the arrows to move up or down. You will see your changes in the Advance on the right.
  1. In the print options section, select page setup to select the printer, paper size, and optional scaling settings.
  1. You can then choose Custom in the same section to choose your envelope size, feeding method, and envelope front. If you don’t see the size you need, go to the bottom of the list, choose custom sizeand enter the width and height of the envelope. Again, you may need to check your printer’s instructions for the correct location setting.
  1. Select okay on each of those popups to close them, save your changes, and return to the envelope window where you started.
  2. To print the envelope immediately, press Impression. Otherwise, you can check the checkbox to Insert this envelope into the active documentSelect okayand follow the steps below to print.

Print the envelope on Mac

When you’re ready to print your custom envelope or edited template, load your envelope(s) into your printer according to the manufacturer’s instructions and the settings you adjusted in the print options described above.

  1. Select Proceedings > Impression from the menu bar.
  2. You can select a different printer at the top and make any other changes you need to the print settings. You will also see a preview of your envelope(s).
  3. To choose Impression.

save your envelope

In Word on both Windows and Mac, you can save the envelope document you created using Proceedings > Save money either Save as. Choose a location, give your document a name, and select Save money. Then simply reopen to edit and reuse the envelope Word document.
